Terms of Use ResidencyAI

These Terms of Use (hereinafter "Terms" or "Agreement"), as amended from time to time, exclusively govern your access to and use of the ResidencyAI platform and its associated services (hereinafter "Services"). This agreement is concluded between Stefanos Charalambous, as the provider of the Services ("we," "us," or "our") and you, the entitled user ("You" or "your").
By creating an account, accessing, or using any part of the Services, you acknowledge that you have read, understood, and fully and unconditionally agree to be bound by these Terms, as well as our Privacy Policy, which is incorporated herein by reference. If you do not agree to these Terms or the Privacy Policy, you are not permitted to access or use the Services.
You may use the Services only if you are at least 18 years of age. By accessing or using the Services, you represent and warrant that you are 18 or older. The Services are not intended for and may not be used by anyone under the age of 18. We do not knowingly collect or solicit personal information from individuals under 18. If we learn that we have collected personal data from someone under 18 without verified parental consent, we will delete that information promptly.
1. Nature and scope of the Services
The Services consist of an AI-powered online platform designed solely for practice and educational purposes to assist in the preparation for certain interviews, such as medical residencies and similar programs.
ResidencyAI provides practice sessions in two modes:
- Full Mock Interviews: Conducted as real-time audio interviews, where ResidencyAI will imitate a human interview partner and lead the interview in the form of audio questions and reactions. For this mode, you provide your responses verbally ("Input").
- Single Question Practice: Focused practice on individual interview questions. For this mode, you may provide your responses verbally via audio recording or directly through text input ("Input").
For both modes, the platform will then generate detailed feedback and analysis on your performance and responses ("Output"). The Services are available via the website at https://medinterviews.ai (the "Website").
1.1 Provision of the Services based on artificial intelligence
ResidencyAI relies on artificial intelligence (AI) models by third-party providers, including but not limited to OpenAI and LiveKit. Any Output generated by these AI models is automated and may be incorrect, inaccurate, incomplete, biased, and/or not suitable for your specific purpose of interview preparation. ResidencyAI does not involve human supervision or intervention in generating any Output unless otherwise stated. You should exercise your own judgment and discretion when relying on any Output.
1.2 Purpose of the Services, no success guarantee
The purpose of the Services is to assist in the preparation for certain professional interviews, but the Services are not intended as a sole preparation tool. There is no guarantee that the content, form or duration of the interview sessions or questions will match any actual interview content. Completing a practice session, achieving a certain score, or receiving specific feedback through the Services does not guarantee success, admission, or any particular outcome in an actual interview or professional program. You remain solely responsible for your own application, interview performance, and professional decisions.
1.3 Features and availability of the Services
The Services are constantly being developed, improved and adapted. We reserve the right to add, modify, or remove certain features, functionalities, or aspects of the Services at any time without prior notice. Where such changes significantly impact your use of the Services, we will make reasonable efforts to notify you in advance. If you are a paying user and a material change negatively affects your access or use, you may be entitled to a remedy such as a pro-rated refund, subject to applicable consumer protection laws.
The exact content and scope of the Services available to you are determined by the information on the Website at the time you begin a practice session.
The Services are provided on a best-effort basis. While we aim for high availability, we do not guarantee that the Services will be uninterrupted or error-free at all times. We may suspend or limit access to the Services for maintenance, upgrades, legal compliance, or other operational reasons. In such cases, we will make reasonable efforts to inform users in advance, where feasible.
1.4 Critical Disclaimers and Limitations
IMPORTANT: PLEASE READ THESE DISCLAIMERS CAREFULLY.
- Not Professional Advice: The Services, including all AI-generated Output, are for simulated practice and general educational purposes only. They are NOT intended to be, and must not be construed as, medical advice, legal advice, career advice, or any other form of professional guidance. You should always consult with qualified professionals for specific advice tailored to your situation.
- No Protected Health Information (PHI): You MUST NOT input, share, or transmit any Protected Health Information (PHI) as defined by HIPAA, or any other sensitive, confidential, or personally identifiable patient data, during your use of the Services. ResidencyAI is NOT a HIPAA-compliant platform and is not designed or intended to receive, store, or process such data under HIPAA, or other data protection laws. Even if prompted by the AI or interviewer, you must keep your answers hypothetical and you are strictly prohibited from disclosing any information related to real patients or individuals. You remain solely responsible for any sensitive data you choose to disclose, and we expressly disclaim any liability arising from such disclosures.
- No Affiliation: ResidencyAI is not affiliated with, endorsed by, or sponsored by any medical education institutes, residency programs, examination boards, or other professional programs or organizations, such as the NRMP (National Resident Matching Program) or similar entities.
1.5 Communications
By creating an Account and using the Services, you agree that ResidencyAI may communicate with you electronically, including by email, to the email address associated with your Account. These communications may include, but are not limited to, welcome emails, notifications regarding your Account, updates to the Services or these Terms, and delivery of your practice session reports. Such communications may be personalized, for example, by addressing you by your preferred name. You acknowledge that these electronic communications satisfy any legal requirement that such communications be in writing. For information on how we handle your personal data in relation to communications, please refer to our Privacy Policy.
2. User obligations
By using the Services, you agree to comply with these user obligations. Your failure to adhere to these obligations may result in the suspension or termination of your Account.
2.1 Registration, data accuracy
In order to use the Services, you must create an account on the Website (Account). Please make sure that your data are accurate and up to date. You are not authorized to transfer your Account to another person.
2.2 Safety and notification obligations
You must choose a safe password, change the password regularly, and you are obliged to keep the password secret from any other person. You must immediately notify us of any unauthorized access to your password or to your Account, or any other breach of security.
2.3 Technical requirements, correct use
To access and use the Services effectively, you are responsible for ensuring that your technical setup meets the necessary requirements. This includes, but is not limited to:
- A stable internet connection
- A compatible computing device (desktop or laptop)
- A functioning microphone and speaker
- A quiet environment suitable for clear audio recording
For best results during audio-based interactions, please speak clearly, at an appropriate volume, at a moderate pace, and with proper pronunciation. Background noise should be minimized to ensure accurate processing and feedback. We are not responsible for degraded performance caused by suboptimal audio quality or technical conditions on your end.
2.4 Responsibility for the use of any Output
The Services rely on artificial intelligence models, and as such, any Output generated may contain inaccuracies, errors, or biases. You acknowledge and agree that you are solely responsible for evaluating the accuracy, completeness, and appropriateness of any Output before relying on it, incorporating it into your responses, answering it, or otherwise using it.
2.5 Permitted and unauthorized use of the Services
You must use the Services strictly for their intended purpose: as an automated partner for interview practice. Any use of the Services or provision of Input that is not in line with this purpose is strictly prohibited.
In particular, you are not allowed to:
- Provide any Input that is unlawful, harmful, threatening, intimidating, abusive, harassing, tortuous, defamatory, vulgar, obscene, libelous, discriminatory, demeaning, invasive of another's privacy, hateful, or racially, ethnically, or otherwise objectionable.
- Input, share, or transmit any Protected Health Information (PHI) as defined by HIPAA, or any other sensitive, confidential, or personally identifiable patient data.
- Use the Services or any Output for any illegal or unauthorized purpose, or in violation of any applicable local, state, national, or international law or regulation.
- Misuse the Services in any way that could interfere with their functionality, security, or integrity, including but not limited to:
- Overloading, disrupting, or otherwise impairing the Services or our servers.
- Using automated tools, bots, scripts, or any similar means to access, interact with, or collect data from the Services without our express written permission.
- Attempting to gain unauthorized access to any portion of the Services, other user accounts, or our systems.
- Attempt to decompile, reverse-engineer, disassemble, modify, or tamper with the Service's code, data, or underlying technology.
- Create multiple accounts for the purpose of circumventing usage limits, abusing promotions, or engaging in any other fraudulent activity.
- Use the Services for any commercial purpose without our prior written consent.
- Publish any Output (e.g. audio recordings or transcripts)
3. Service credits, payment methods and refunds
3.1 Service credits
To access and utilize certain features of the Services, you must purchase service credits ("Service Credits") beforehand. Service Credits are offered as part of various bundles or plans, which also grant access to additional features. The specific features and credit allocations associated with each bundle or plan are detailed on the Website.
ResidencyAI offers two distinct types of Service Credits:
- Interview Credits: One (1) Interview Credit grants you access to one (1) Full Mock Interview, and the right to receive each of your responses annotated with feedback. An Interview Credit is considered used, and will be deducted from your account upon joining an interview.
- The maximum duration of any interview is 30 minutes from the moment you press the “Enter Interview Room” button (Maximum Duration). Once this Maximum Duration is reached, the interview session will automatically conclude. The actual duration of your interview may be shorter depending on the pace of the conversation. If the AI interviewer concludes the interview before the Maximum Duration, you are free to continue engaging with the AI agent until the Maximum Duration is reached.
- For feedback to be generated for a Full Mock Interview, the session must have a minimum duration of 60 seconds of active interaction. If the interview concludes before this minimum duration, feedback may not be generated, and the Interview Credit will still be considered used.
- If you experience a disconnection during an ongoing interview session, you will be given the option to resume that session upon re-entry to the interview. Choosing to resume an ongoing session will not incur an additional Interview Credit deduction. However, choosing to discard an ongoing session and start a new interview will result in the deduction of a new Interview Credit.
- Question Credits: One (1) Question Credit grants you the right to receive AI-generated feedback for one (1) Single Question Practice response. A Question Credit is considered used, and will be deducted from your account, upon the successful generation and display of AI feedback for your submitted response.
The current price for Service Credits and any available bundles or plans are indicated on the Website.
Expiration of Service Credits: All Service Credits purchased or granted will expire and become unusable six (6) months from the date of their purchase. Expired Service Credits will not be refunded or reinstated.
3.2 Payment methods
Purchases of Service Credits are handled through our payment provider Stripe. You must use one of the payment methods that are offered to you by Stripe and you must comply with any conditions and obligations by Stripe.
3.3 Refunds
Once a Service Credit has been purchased and made available for use, it is generally non-refundable.
For Consumers Residing in the European Union (EU) or United Kingdom (UK): You have a statutory right to withdraw from online purchases of digital content or services within 14 days without giving any reason. However, by purchasing Service Credits and expressly consenting to their immediate availability and use, and by acknowledging that you thereby waive your right of withdrawal, you agree that the Service Credits are provided to you immediately upon purchase. If you use any Service Credit within this 14-day period, you acknowledge that the service has begun and your right of withdrawal for that purchase is lost. If you do not use any Service Credits within the 14-day period and have not waived your right, you may be entitled to a monetary refund upon request.
Exceptional Refunds (Service Credits Only): Service Credits may exceptionally be refunded (i.e., you may receive a new Service Credit for one that has already been used up) if:
- A significant technical issue arises on our end that demonstrably prevented you from using the Service Credit as intended (e.g., a persistent system error preventing any interaction or feedback generation, or a complete failure to connect to the interview room that was not resolved by resuming); and
- You provide sufficient proof of the technical issue (e.g., in the form of log files, screenshots, or other verifiable evidence); and
- We, at our sole discretion, deem this proof sufficient to warrant a refund.
Refunds granted under these exceptional circumstances will be in the form of Service Credits only, not monetary refunds.
4. Intellectual property
You agree that any intellectual property rights inherent in or used in connection with the Services are and shall remain our property. You may not copy, reproduce, distribute, modify, create derivative works of, publicly display, publicly perform, republish, download, store, or transmit any of the material on our Services, except as generally permitted by the Services' functionality for your personal, non-commercial use, or with our express written permission. The ResidencyAI name or logo may only be used with our written permission. If you provide feedback to ResidencyAI, you allow us to use this feedback without any compensation or restriction.
You hereby grant us a free, non-exclusive and transferable license, unrestricted in time and space, to use your Input for the purpose of improving, and developing the Services, including but not limited to training and refining the AI models and algorithms underlying our Services. This license will survive any termination of your Account or these Terms.
We will only use your Input for model improvement with your consent and in accordance with applicable data protection laws and our Privacy Policy. Where your Input contains personal data, it will be anonymized and stripped of any personally identifiable information before being used for model training or related purposes. Such processing is subject to appropriate safeguards to ensure data protection and privacy.
5. Data protection
We process the personal data you provide to us according to our privacy notice which is available at https://medinterviews.ai/privacy.
If your Input contains personal data, we may process it in accordance with our Privacy Policy to improve and develop the Services, including for model training and refinement. However, any such use for training purposes will occur with your consent and only after the Input has been anonymized and de-identified to remove any personally identifiable information, and subject to appropriate legal safeguards under applicable data protection laws.
Even if asked by the AI interview partner, you must not share sensitive information within the meaning of the applicable data protection laws (e.g. patient data, data about illnesses etc., and/or data that includes or constitutes “Protected Health Information” as defined under the HIPAA Privacy Rule (45 C.F.R. Section 160.103)). ResidencyAI is NOT a HIPAA-compliant platform and is not designed to receive or process such information. We disclaim all liability for any sensitive information you choose to disclose.
6. Disclaimers of Warranties
YOU EXPRESSLY UNDERSTAND AND AGREE THAT YOUR USE OF THE SERVICES IS AT YOUR SOLE RISK. THE SERVICES ARE PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS, WITHOUT ANY WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO, IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR COURSE OF PERFORMANCE.
WE DO NOT MAKE ANY REPRESENTATION OR WARRANTY THAT:
- THE SERVICES OR ANY OUTPUT WILL BE RELIABLE, ACCURATE, COMPLETE, CURRENT, OR ERROR-FREE;
- YOUR ACCESS TO THE SERVICES WILL BE UNINTERRUPTED, TIMELY, OR SECURE;
- THE SERVICES WILL MEET YOUR REQUIREMENTS OR EXPECTATIONS;
- ANY ERRORS IN THE SERVICES WILL BE CORRECTED.
ANY MATERIAL DOWNLOADED OR OTHERWISE OBTAINED THROUGH THE USE OF THE SERVICES IS DONE AT YOUR OWN DISCRETION AND RISK, AND YOU WILL BE SOLELY RESPONSIBLE FOR ANY DAMAGE TO YOUR DEVICE OR LOSS OF DATA THAT RESULTS FROM THE DOWNLOAD OF ANY SUCH MATERIAL.
7. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL STEFANOS CHARALAMBOUS, ITS AFFILIATES, OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, SUPPLIERS, OR LICENSORS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES, INCLUDING BUT NOT LIMITED TO, DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA, OR OTHER INTANGIBLE LOSSES (EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES), RESULTING FROM:
- YOUR ACCESS TO OR USE OF OR INABILITY TO ACCESS OR USE THE SERVICES;
- ANY CONDUCT OR CONTENT OF ANY THIRD PARTY ON THE SERVICES;
- ANY CONTENT OBTAINED FROM THE SERVICES;
- UNAUTHORIZED ACCESS, USE, OR ALTERATION OF YOUR TRANSMISSIONS OR CONTENT;
- YOUR RELIANCE ON ANY OUTPUT OR INFORMATION OBTAINED FROM THE SERVICES;
- ANY FAILURE TO SECURE ADMISSION TO A RESIDENCY PROGRAM OR ANY OTHER PROFESSIONAL PROGRAM;
- ANY DISCLOSURE OF PROTECTED HEALTH INFORMATION (PHI) OR OTHER SENSITIVE DATA BY YOU;
- OR ANY OTHER MATTER RELATING TO THE SERVICES.
IN NO EVENT SHALL OUR AGGREGATE LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICES EXCEED THE GREATER OF ONE HUNDRED SWISS FRANCS (CHF 100) OR THE AMOUNT YOU PAID US, IF ANY, FOR THE SERVICES IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or breach of your statutory rights as a consumer under applicable law.
8. Indemnification
You agree to defend, indemnify, and hold harmless Stefanos Charalambous, its affiliates, licensors, and service providers, and its and their respective officers, directors, employees, contractors, agents, licensors, suppliers, successors, and assigns from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable attorneys' fees) arising out of or relating to:
- Your violation of these Terms of Use or your use of the Services;
- Your Input, including any claim that your Input violates any law or infringes the rights of any third party (e.g., intellectual property rights, privacy rights);
- Your disclosure of Protected Health Information (PHI) or any other sensitive, confidential, or personally identifiable patient data on the platform;
- Your negligence or willful misconduct.
9. Third-Party Links and Services
The Services may contain links to third-party websites or services that are not owned or controlled by ResidencyAI. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services. You further acknowledge and agree that ResidencyAI shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with the use of or reliance on any such content, goods, or services available on or through any such websites or services. We strongly advise you to read the terms and conditions and privacy policies of any third-party websites or services that you visit.
10. Termination and Suspension
We may suspend or terminate your access to the Services at any time, with or without prior notice or liability, for any reason, including but not limited to your breach of these Terms. Grounds for termination or suspension may include, without limitation, violations of user obligations (see Section 2), non-payment of fees, or engagement in fraudulent, abusive, or unlawful activity.
Upon termination, your right to use the Services will immediately cease. If you wish to terminate your account, you may do so via the "Settings" page on the Website.
All provisions of these Terms which by their nature should survive termination shall survive termination, including, without limitation, provisions relating to ownership, warranty disclaimers, indemnification, and limitations of liability.
11. Miscellaneous
11.1 Applicable law, jurisdiction
These Terms are governed by material Swiss law. Any dispute, controversy or claims arising out of or in connection with these Terms shall be submitted to the exclusive jurisdiction of the courts of Zurich, Switzerland.
11.2 Modifications of these Terms
We may update these Terms at any time, and we will notify you about material changes. If you keep using the Services, this means that you accept the modified terms.

These Terms are drafted in English. If they are translated into another language, the English version shall prevail to the extent of any conflict or inconsistency.
